
Presentation Guidelines
Presentations in Oral, Symposium, and Poster Sessions
We are delighted to welcome you soon to Oaxaca for ATBC2025! As we prepare for an exciting week of scientific exchange and collaboration, we share below the guidelines for presentations in oral, symposia, and poster sessions. These recommendations are intended to help ensure that all sessions run smoothly and provide a meaningful experience for both presenters and attendees.
If you are giving an oral presentation, please upload your file by June 27th. This will help us ensure smooth transitions between talks and minimize technical issues during the sessions.
Presentations in Oral Sessions and Symposia

Please arrive at your session room at least 10 minutes before it begins.

Please check with the technical team to ensure your presentation is uploaded and functioning properly.

Personal laptops are not allowed. Only files submitted through the official upload system will be used.

Accepted formats: PowerPoint (.ppt, .pptx) or PDF.

Use a 16:9 screen ratio.
To avoid technical issues, please do not include external links, embedded websites, or streaming videos that require internet access.

Each speaker will have 11 minutes for the presentation, followed by 3 minutes for Q&A, unless your session organizers (for symposia) have informed you of a different time format.

Kindly adhere to this timing to support the smooth flow of sessions.

In line with ATBC’s values of diversity and inclusion, talks may be presented in English, Spanish, French, or Portuguese.

If you choose to present in a language other than English, please prepare bilingual slides (in both the spoken language and English) to ensure that all attendees can follow.
If you choose this format and haven’t done so already, please email us at atbc2025@tropicalbiology.org, including your abstract ID, presentation title, and the language in which you plan to present.

The deadline to upload your presentation is Friday, June 27, 2025, at 11:59 PM CST (Central Standard Time, Mexico).

Enter your abstract ID (from your acceptance letter), verify your session information, choose your file, and click “Upload Presentation.”

A confirmation message will appear, and an email will be sent to confirm receipt.

Format: .ppt, .pptx, or .pdf

Maximum file size: 30 MB
Your file will be accessible only to the ATBC 2025 Organizing Team. All rights remain with the author.

Presentations in Poster Sessions

Posters must be prepared in vertical format, with dimensions of 90 cm (width) x 120 cm (height).

Content should be in English, though you are welcome to include a second language (such as Spanish, French, or Portuguese) to enhance accessibility.

Please print your poster before arriving at the conference.
Printing services will not be available at the venue.

On the day of your scheduled poster session, please arrive at the poster area by 8:30 AM to mount your poster.

Mounting materials will be provided, and our volunteers will be available to help you locate your assigned board.

Your poster should remain on display throughout the day and must be removed at the end of the day once the exhibition period concludes.

Information regarding your board number will be communicated in the final conference program.
